Hotel PMS and GRMS Integration Guide for Operators

A hotel's Property Management System (PMS) is the operational backbone of the property — it knows which rooms are occupied, which guests are checking in, which reservations are arriving early, and which rooms are due for housekeeping. A Guest Room Management System (GRMS) controls the physical environment of every room — HVAC, lighting, curtains, DND/MUR status, and energy consumption.

When these two systems operate independently, the hotel loses significant value. The PMS knows a guest checked out at 11:00 AM, but the GRMS keeps the room at full comfort setpoint until a housekeeper manually resets it. A VIP guest's preferences are recorded in the PMS, but the room has no way to act on them before arrival. Energy runs at full load in vacant rooms because the GRMS has no occupancy signal from the PMS.

PMS-GRMS integration closes this gap. Smart G4's open protocol architecture makes integration with Oracle Opera, Mews, and Cloudbeds straightforward, reliable, and deeply functional. This article explains how the integration works, what it enables, and what hotel operators should look for when specifying a connected system.

Why PMS-GRMS Integration Matters

The business case for PMS-GRMS integration rests on three pillars.

Energy Savings from Real Occupancy Data

Occupancy-based HVAC setback is the single largest energy saving available in hotel operations. But setback only works when the GRMS knows the true occupancy state of each room — not a timer estimate, not a key card signal alone, but the actual check-in and check-out status from the PMS.

With PMS integration, the GRMS receives real-time room status updates:

  • Vacant/clean: Economy setpoint (HVAC setback, lights off)
  • Vacant/dirty: Economy setpoint, housekeeping alert active
  • Occupied: Comfort setpoint, guest control enabled
  • Due out: Pre-checkout setback begins 30 minutes before expected departure
  • Due in: Pre-conditioning begins 60 minutes before expected arrival

This level of precision consistently delivers 30-40% reductions in guest room HVAC energy consumption compared to non-integrated systems.

Personalised Guest Experience

Modern PMS platforms store guest preference profiles: preferred room temperature, lighting preferences, floor preference. With PMS-GRMS integration, these preferences trigger room pre-configuration before the guest arrives:

  • Temperature set to the guest's recorded preference
  • Welcome lighting scene activated
  • Curtains positioned based on time of day and guest history
  • DND status cleared and room prepared for arrival

For luxury and 5-star properties, this level of personalisation is a direct differentiator. Guests who return to a room that already feels right report significantly higher satisfaction scores.

Operational Efficiency for Housekeeping and Engineering

PMS-GRMS integration streamlines housekeeping and maintenance workflows:

  • Housekeeping status sync: When a housekeeper marks a room clean in the PMS, the GRMS automatically transitions the room to vacant/clean mode.
  • Maintenance mode: When engineering places a room out of order in the PMS, the GRMS sets the room to a maintenance setpoint and disables guest controls.
  • Real-time room status dashboard: The GRMS management interface shows PMS-sourced occupancy data alongside sensor data, giving engineering a single view of every room's state.

How Smart G4 PMS Integration Works

Smart G4's GRMS communicates with PMS platforms through a documented integration layer built on the sBUSPro open protocol. The integration architecture has three components.

GRMS-PMS Interface Module

The interface module runs on the hotel's network and maintains a persistent connection to both the GRMS controller and the PMS. It translates PMS room status events into GRMS commands and GRMS room state changes into PMS status updates.

The module supports two integration modes:

  • Push mode (PMS-initiated): The PMS sends room status events to the GRMS in real time as they occur. This is the preferred mode for modern cloud-based PMS platforms that support webhook or API push.
  • Poll mode (GRMS-initiated): The GRMS polls the PMS at a configurable interval (typically 60-120 seconds) for room status updates. Used with legacy PMS platforms that do not support push notifications.

Bidirectional Status Sync

The integration is bidirectional. The GRMS not only receives data from the PMS but also sends data back:

  • DND/MUR status: When a guest activates Do Not Disturb from the bedside panel, the GRMS sends a DND flag to the PMS, updating the housekeeping schedule and alerting the front desk.
  • Room temperature: The current room temperature is available in the PMS for engineering and front desk staff.
  • Energy consumption: Per-room energy data from the GRMS is available in the PMS for sustainability reporting and operational analysis.
  • Maintenance alerts: GRMS fault alerts are pushed to the PMS maintenance module for immediate engineering dispatch.

Fallback and Resilience

In the event of a network interruption between the PMS and GRMS, the GRMS falls back to sensor-based occupancy detection (key card, PIR, door contact) and maintains the last known room state. When the connection is restored, the GRMS reconciles its room states with the current PMS data.

Integration with Oracle Opera

Oracle Opera is the dominant PMS in 5-star and luxury hotel segments globally. Smart G4's Opera integration uses the Opera OHIP (Oracle Hospitality Integration Platform) API, which provides real-time room status events via webhook, guest profile data including preference fields, housekeeping status read and write, and reservation data including arrival/departure times and VIP flags.

Key Opera integration features:

  • VIP pre-conditioning: Reservations flagged as VIP in Opera trigger an enhanced pre-arrival sequence in the GRMS.
  • Early check-in handling: When Opera records an early check-in, the GRMS immediately transitions the room from economy to comfort mode.
  • Group block management: For group reservations, the GRMS can pre-condition all rooms in a block simultaneously.

Integration with Mews

Mews is a cloud-native PMS widely adopted in boutique hotels, lifestyle properties, and mid-scale chains. Smart G4's Mews integration uses the Mews Connector API, providing real-time space status events via WebSocket, reservation and guest profile data, housekeeping task management, and custom field support for GRMS preference data.

Mews's open API architecture makes it one of the most flexible PMS platforms for GRMS integration:

  • Space status sync: Mews's space status model maps directly to GRMS room modes, enabling automatic HVAC and lighting transitions on every housekeeping status change.
  • Guest app integration: Mews's guest-facing app can be extended to include GRMS controls, giving guests a single app for both PMS services and room environment control.
  • Automated upsell triggers: When a guest upgrades to a suite in Mews, the GRMS automatically applies the suite's enhanced automation profile.

Integration with Cloudbeds

Cloudbeds is a popular cloud PMS for independent hotels, resorts, and boutique properties in emerging markets. Smart G4's Cloudbeds integration provides reservation and room assignment data, housekeeping status management, and guest profile data.

Cloudbeds uses a hybrid approach: webhook for reservation events (check-in, check-out, room assignment) and polling for housekeeping status. This delivers near-real-time performance with 60-90 second latency on housekeeping updates.

For properties in Africa, Southeast Asia, and the Middle East where Cloudbeds has strong adoption, this integration enables Smart G4 GRMS functionality that was previously only available to Opera-equipped luxury properties.

What to Ask Your GRMS Vendor

When evaluating GRMS platforms for PMS integration, hotel operators and ELV consultants should ask:

  1. Which PMS platforms are certified integrations, and which are custom? Certified integrations are maintained and updated as the PMS API evolves.
  2. Is the integration bidirectional? One-way integrations miss the operational efficiency gains from DND sync, energy reporting, and maintenance alerts.
  3. What is the fallback behaviour when the PMS connection drops? Sensor-based occupancy detection is the minimum requirement.
  4. How are guest preferences handled? Preference-driven pre-conditioning requires the GRMS to read structured preference data from the PMS.
  5. What is the integration maintenance model? PMS APIs change. The GRMS vendor must commit to maintaining the integration as both platforms evolve.

Implementation Timeline

A Smart G4 GRMS with PMS integration in a 150-room property typically follows this timeline:

  • Week 1: PMS API credential provisioning, network architecture review, interface module installation
  • Week 2-4: GRMS hardware installation and commissioning
  • Week 4-5: PMS integration configuration, room status mapping, preference profile setup
  • Week 5-6: End-to-end testing (check-in/out sequences, housekeeping sync, DND, pre-conditioning)
  • Week 6: Staff training and go-live

For properties upgrading from a non-integrated GRMS, the interface module can often be retrofitted without replacing existing GRMS hardware, reducing both cost and disruption.
